- Payments are handled through third-party payment services. We may hold invoices, transaction records and payment-status information. Please do not send full payment-card details through email, chat or general enquiry forms.
Website usage data
- IP address, browser type and pages visited, collected through cookies and analytics tools
- Referring website or source
Please limit what you share to information relevant to our work. Avoid providing sensitive personal information, tax file numbers or unnecessary information about other people. If sensitive information is genuinely necessary, we will discuss appropriate handling and any consent required before collecting it.
How We Collect Information
We collect personal information in the following ways:
- Contact forms: When you submit an enquiry through our website
- Bookings and CRM: When you book an appointment or submit information through GoHighLevel forms, funnels or related communications
- Email correspondence: When you contact us directly
- Coaching sessions: Information shared during our work together, including recordings or transcripts where you have agreed to them
- Invoicing and payments: When you engage our services and payment is processed
- Website analytics: Automatically through cookies and analytics tools when you visit our website
Where it is reasonable and practicable to do so, we collect personal information directly from you. We will not collect your personal information from a third party without your knowledge unless this is permitted or required by law.
Why We Collect Information
We collect and use personal information for the following purposes:
- To respond to enquiries and assess whether our services are a suitable fit
- To deliver coaching and advisory services you have engaged us for
- To schedule and manage appointments and calls
- To process payments and manage billing
- To communicate with you about your engagement, including preparing session summaries, action items and follow-ups, with AI assistance where appropriate as described in Section 15
- To send relevant information about our services, where you have consented to receive it
- To improve our website and services based on usage data
- To comply with applicable laws and regulations
If we propose using recordings or transcripts for our own learning or training beyond delivering your service, we explain that purpose and seek separate agreement. Other uses or disclosures must have an appropriate basis under applicable law; we seek consent where required.
How We Store and Protect Your Information
We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and from unauthorised access, modification or disclosure.
Personal information is stored in:
- Cloud-based platforms used for email, CRM, scheduling, document storage, agreed recordings or transcription, and AI-assisted work
- Password-protected devices and accounts with appropriate access controls
When personal information is no longer needed for the purpose for which it was collected and is not required to be retained by law, we will take reasonable steps to delete or de-identify it securely.
While we take reasonable precautions to protect your information, no method of transmission over the internet is completely secure. We cannot guarantee absolute security of data transmitted to or from our website.
Service Providers and Third Parties
We do not sell your personal information. We use service providers to support our business. Depending on how you interact with us and which tools are used, relevant providers may include:
- Website hosting and WordPress-related services: Operating and maintaining our website.
- GoHighLevel: Customer relationship management, forms, funnels, communications, calendar and appointments.
- Zoom, Fathom, Otter.ai and Tactiq: Online meetings and, where agreed, recording, transcription or summaries. Not every tool is used for every session.
- OpenAI (ChatGPT), Anthropic (Claude) and Google (Gemini): Drafting, editing, image creation and other AI-assisted work. Client-related information may be used for summaries, action items or communications as explained in Section 15.
- Email, payment, document-storage and accounting providers: Communications, billing, records and service delivery.
- Analytics and embedded social-media providers: Website measurement or displaying social content, depending on the features enabled and applicable privacy choices.
- TidyCal: Information associated with previous bookings or records retained from its earlier use. Our current website booking process uses GoHighLevel.
Not all providers receive all information. Their handling of data depends on the service, account settings and applicable terms. We do not make a blanket promise that information submitted to AI tools is never retained or used for model improvement; see Section 15.
We may also disclose information to professional advisers or where required or authorised by law. Contact us if you would like more information about a provider relevant to your interaction with us.
Overseas Processing and Disclosure
Some cloud, CRM, communications, transcription and AI providers may store, process or allow access to information outside Australia, including in the United States. The locations depend on the provider, its infrastructure and subprocessors, and the account or service used.
We consider overseas handling when selecting and using providers and take reasonable steps required by applicable privacy law. We do not treat your use of this website as a waiver of your privacy rights or blanket consent to overseas disclosure.
Contact us before sharing information if you need details about the overseas handling associated with a particular service.
Cookies, Analytics and Website Messages
Our WordPress website uses cookies and similar technologies for essential functions, preferences and, where enabled, analytics or embedded content. Depending on the feature, this may involve device or browser information, IP addresses and details of your interactions.
Cookie preferences can be managed through the website cookie controls and your browser settings. Declining optional features may affect embedded social content or other non-essential functionality.
Where analytics tools such as Google Analytics are enabled, their collection depends on the website configuration and applicable consent choices. We do not describe all analytics information as anonymous, since online identifiers may still relate to an individual.
Website messages currently come to us for a human response; the website does not currently use an AI chatbot to answer visitors. We may use AI to help edit a response as explained in Section 15. Any future customer-facing AI feature will need an appropriate notice and an updated explanation of information handling before use.
Marketing Communications
We may send marketing emails or SMS messages where we have your express consent or another valid basis permitted by the Spam Act 2003 (Cth). Booking an appointment does not automatically subscribe you to unrelated marketing.
You may unsubscribe using the option provided in a marketing message or by sending us a message through our Contact page. We distinguish marketing from messages needed to respond to your enquiry or manage an existing appointment or service.
Access, Correction and Other Requests
You may contact us to request access to or correction of the personal information we hold about you, withdraw marketing consent, ask about AI-assisted handling, or raise a privacy concern. Requests are handled in accordance with applicable law.
You may also ask us to delete information. We assess deletion requests against our legal, record-keeping and legitimate service requirements; deletion is not always available or immediate.
Please use our Contact page and begin your message with “Privacy enquiry”. We may need to verify your identity before releasing or changing information. We aim to respond within 30 days, and will explain any lawful refusal or delay.
Complaints
If you believe we have handled your personal information in a way that does not comply with the Australian Privacy Principles or this policy, we encourage you to contact us first so we can attempt to resolve the matter directly.
To make a privacy complaint, please use our Contact page and begin your message with “Privacy complaint”.
We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days. If we are unable to resolve your complaint to your satisfaction, you may refer it to the Office of the Australian Information Commissioner (OAIC):

We may update this Privacy Policy from time to time to reflect changes in our practices, technology or legal obligations. When we make material changes, we will update the “Last updated” date at the top of this page.
We encourage you to review this policy periodically. Where a change affects how your information is handled, we provide additional notice and seek any fresh consent required before introducing that use. Updating this page does not by itself obtain that consent.

Send a Privacy EnquiryAI, Recording and Transcription
We use AI-assisted tools for drafting, editing, images and practical support such as session summaries, action items and follow-up communications. We review client-facing AI-assisted work; the tools support rather than replace our judgement.
We ask permission before recording or transcribing a session. You may decline and still participate. We explain the intended use and relevant tools, including any proposed processing of identifiable material with AI, and seek consent where required. Permission to record does not automatically authorise every subsequent use.
Before using client-related material with generative AI, we remove names and other details that could reasonably identify you, your business or another person.
Provider retention, overseas processing and model-training or improvement practices depend on the product, account settings and applicable terms. We assess those settings before using personal information and do not promise that every provider has a no-retention or no-training arrangement. Please contact us before a session or sharing documents if you want to discuss these uses or alternatives.
Any use of client recordings for our own learning or training beyond providing your service is explained and agreed separately. This policy does not provide blanket permission for future tools or new AI uses.
